Accommodations Policy for Professional Development Events

Wayne RESA is committed to providing accessible, inclusive professional development (PD) opportunities for all learners. This policy outlines how participants may request accommodations and how Wayne RESA ensures accessibility before, during, and after each professional learning experience. The policy applies to all Wayne RESA sponsored PD, including workshops, courses, webinars, and conferences.

Requesting Accommodations

To support timely planning and high-quality service, learners are encouraged to submit accommodation requests as early as possible.

Standard Timeline for Requests

  • Wayne RESA asks that all accommodation requests be submitted at least three (3) days prior to the start of the course or event.
  • Requests may be submitted through:
    • The event registration form
    • Email to the designated PD coordinator or accessibility contact listed in the event materials

Day-of Requests

Wayne RESA understands that some needs arise unexpectedly. When feasible, staff will make reasonable efforts to fulfill same-day accommodation requests, though availability cannot be guaranteed. Staff will work with the learner to identify alternative solutions whenever possible.

Ensuring Accommodations Before, During, and After the Course

Before the Event or Course

To ensure accommodations are in place prior to the learning experience, Wayne RESA will:

  • Review all submitted accommodation requests promptly.
  • Arrange requested supports (e.g., captioning, assistive listening devices, accessible materials, specialized seating).
  • Inform facilitators of accommodation needs relevant to instructional delivery.
  • Prepare accessibility features for online sessions (live captioning, screen-reader-friendly materials, accessible slide decks).

During the Event or Course

To ensure ongoing accessibility, Wayne RESA will:

  • Support facilitators in adjusting pacing or providing alternate formats as needed.
  • Provide accessibility or technical support staff to troubleshoot issues in real time (e.g., caption delays, audio access, visibility concerns).
  • Distribute materials in accessible formats (digital text, readable PDFs, alt-text images, etc.).
  • Respond to additional accommodation needs that arise during the session whenever reasonably possible.

After the Event or Course

To ensure equitable access to follow-up materials and requirements, Wayne RESA will:

  • Provide post-event resources (recordings, slides, handouts) in accessible formats.
  • Offer accommodations for post-event expectations, such as assignments, reflections, or documentation.
  • Review participant feedback related to accessibility to improve future programs.

Differences Between In-Person and Online Courses

In-Person Events

Accommodations may include:

  • Captioning
  • Assistive listening devices
  • Reserved seating or physical space adjustments
  • Printed or tactile materials
  • Sensory accommodations

Wayne RESA encourages requests three days prior to the event, as many in-person supports require advance coordination.

Online Events

Accommodations may include:

  • Live captioning
  • Screen-reader-friendly materials
  • Accessible slide decks
  • Chat-based or alternative participation options
  • Technical support for platform accessibility

While same-day requests are often more manageable for online sessions, advance notice is still preferred to ensure reliable delivery.
